Suggestion needed: how to make sure the hotel employees doesn't cheat?
I own a small hotel with ten employees that is doing okay. The profit each month has been steady and I am pretty happy with it.
The problem is, I have to attend to my other business so I can't be at the hotel. I left it with my employees. I don't want to suspect my employees of doing anything illegal but I find it very easy for them to do so. For example, the cashier can easily take money from a customer and pocket it herself (the customers usually pay in cash). Doing this a few times a day won't be enough for me to notice because I really can't commit any time to the hotel.
I have thought about using a small video recorder/camera type thing but they are not very cheap, especially because I have to buy a lot of them to cover the hotel adequately. The second problem is that the hotel is located in a high crime area and I'm afraid cameras will attract robbers.
Anybody has a suggestion as to how can I keep my employee honest without the use of cameras?
Off the top of my head:
Use numbered folios and be sure all folios are accounted for sequentially.
Check all rooms daily, to be sure one room isn't dirty that shouldn't have been in use.
Have deposit envelopes that are dated for each weekday. Each shift has a different color. Make sure each shift uses the right envelope for the money they take in and deposit at the end of their shift. Have the oncoming desk clerk verify the money and have each clerk initial the amount.
Keep only enough money in the cash drawer to make change. Have the oncoming and outgoing clerks verify the money.
Consider not taking cash! A prepaid debit card is available to everyone with the money. Traveler's checks are free at most banks, or are available for a very small fee. Post a sign to the effect that you take debit cards, credit cards, and traveler's checks only. Give it a month before you enforce it, so that your "regulars" are aware of what they need to use to pay.
